Position Summary:

This position involves the acquisition and dissemination of competitive vendor quotes for IBM Intel-based computer equipment and to place those equipment orders to meet customer needs in a timely manner. The System X Purchasing Specialist corresponds with vendors to follow up and resolve issues, using established company purchasing guidelines. This position is ultimately responsible for the management of all aspects of the order process, order entry to invoicing.



Essential Duties & Responsibilities:



· Vendor price negotiation

· Research and provide competitive price quotes for both internal and customer orders

· Actively search vendor database to source product needed

· Places order with contracted suppliers by:
* Verifying purchase order is accurately placed & received by vendor
* Confirming price, discount, ship date, location, item, quantity, etc.
* Researching and resolving basic order discrepancies
* Making decisions regarding various issues such as product sourcing, pricing revisions, order cancellations, etc.
· Promptly communicates with the sales representative on all aspects of the order process, including but not limited to: submittal of purchase order to the vendor, estimated ship dates (as well as any delays), and carrier information including tracking number.
· Release purchase order timely for invoicing verifies proper accounting records
· Processes and follows up on equipment returns
· Works with Accounting department to reconcile invoice discrepancies
· Maintains professional relationships with vendors and internal customers
· Develops and maintains communication in a cooperative and professional manner with all levels of staff and customers by:
* Communicating openly, honestly and constructively
* Treating all employees and customers with dignity, respect and courtesy
* Taking responsibility for and making every effort to resolve communication trust and respect concerns
* Asking for information needed to perform job responsibilities
* Complying with all Employee Handbook and company procedures
· Other duties and projects as needed to support the team

Knowledge and Skills:
· Requires the ability to complete all functions of the purchasing process proficiently
· High level of attention to detail
· Working knowledge of word processing and spreadsheet applications
· Strong interpersonal, telephone and verbal communication skills
· Strong follow-up, organizational, and time management skills
· Ability to handle multiple tasks
· Intermediate typing skills- 30+ wpm
· Working knowledge of common business practices related to purchase, pricing, and payment for commodities and services, as demonstrated by previous purchasing and/or accounting experience a plus
· Accounting skills helpful
· 1-2 years purchasing or warehouse inventory processing experience
· Product and/or technical knowledge of IBM System X equipment, peripherals, and PC servers helpful
· Working knowledge of Siebel and Lawson applications a plus

Education:
· High school education or equivalent

Physical Requirements:
· Typical office environment and activities
· Medium to heavy use of computer keyboard and mouse
· Occasional lifting, bending, reaching, and kneeling
